This explains what happens to the details you give me when you get in touch with Standfast, whether that’s through the enquiry form on standfast.scot (including the versions linked from Standfast’s social media pages), by email or by phone.
Who I am
Standfast is run by Jen Weston, a sole trader based in the Highlands. I’m responsible for looking after your information. If you have a question about anything on this page, email me at jen@standfast.scot.
What I collect
When you fill in the form, I receive:
- your name, and your business name if you give it
- your email address and/or phone number
- how you’d like me to get in touch
- what you’re interested in, and your message
- how you heard about Standfast, and which page you used to contact me (for example the website or LinkedIn)
- whether you’ve ticked the box to hear from me
- the date and time you sent it
If you email or phone me instead, I have whatever you choose to tell me, and I use it in the same way.
What I use it for
To get back to you. This is the reason the form exists. You’ve asked me to contact you, so replying is a step you’ve requested before we agree any work together — that’s the legal basis.
To send you information now and again — only if you tick the box. The legal basis is your consent. You can change your mind whenever you like: reply to any message asking me to stop, or email me, and I will.
To see how people find Standfast. I count where enquiries come from so I know which places are worth my time. The legal basis is my legitimate interest in running the business sensibly. This never affects how I respond to you.
I won’t use your details for anything else. I don’t sell them, and I don’t pass them to anyone else for their own use.
Where it’s kept
The form is provided by Airtable, which stores what you send. Airtable is a US company and holds data in the United States. Its terms include the contract clauses approved in the UK for sending personal information abroad.
If we then talk by email, our messages are held by my email provider.
Nobody else sees your details unless I’m legally required to share them.
How long I keep it
If your enquiry doesn’t lead to any work, I delete your details 12 months after you get in touch, unless we’re still talking.
If you become a client, your details become part of your client records, and I’ll tell you then how long those are kept.
If you ticked the box, I keep your details for that purpose until you ask me to stop.
Your rights
You can ask me to:
- send you a copy of the information I hold about you
- correct anything that’s wrong
- delete your information
- stop using it for a particular purpose, or pause using it while we sort something out
- give it to you in a format you can take elsewhere
Email jen@standfast.scot and I’ll respond within one month.
If you’re unhappy
Please tell me first, at jen@standfast.scot. I’ll acknowledge your complaint within 30 days, look into it, and let you know what I’ve found and what I’m doing about it.
You also have the right to complain to the Information Commissioner’s Office at any time, at ico.org.uk/make-a-complaint or on their helpline, 0303 123 1113.
Changes to this notice
If I change how I use your information, I’ll update this page and the date at the top.
